Cabin Stays Terms and Conditions
Thank you for booking your stay with us. Please take a couple of minutes to read through our terms and conditions below as they contain important information that forms part of the contract between you and Heather and Stone.
Making a Booking, Heather and Stone cabins handle bookings from persons over 21 years of age. We reserve the right, without giving reasons, to refuse a booking.
All bookings via our direct booking reservation system should be treated as provisional until you receive a booking confirmation email from us.
Prices do not include any additional services, features and facilities unless expressly stated.
Payments
Bookings made online can be paid by Visa or Mastercard.
To secure your booking a 40% of the costs of your stay is required. Bookings must be paid in full up to 60 days before your arrival date. If your booking is less than 60 days from the date of your stay the full cost is required and will be taken.
You will receive an automatically generated booking confirmation and payment summary by email to the email address you provided at the time of booking.
This booking confirmation email forms a contract between you and Heather and Stone.
Due Date of balance payments are due 60 days before your stay.
If the balance is not paid by the due date, Heather and Stone reserves the right to re-let your accommodation and retain the full deposit.
Cancellations
If you do need to cancel your stay here are our cancellation terms.
Any cancellation must be in writing via email and will only be effective once we send written confirmation of the cancellation to you.
Cancellations more than 28 days before arrival will be charged 30% of the total Reservation cost.
If you cancel less than 28 days from the date of your booking,100% of the total Reservation cost will be retained. If we successfully re-market the dates we will provide a credit note for 100% of the cost of your booking. If we cannot re sell the dates the total costs will be retained.
If the guest doesn't show up, they will be charged 100% of the total Reservation cost.
When writing to you to confirm your cancellation, we will provide details of what (if anything) is owing to you and any deductions we have made.
If you are unable to travel to Heather and Stone for any reason, or do not arrive on the day of check-in without notifying us, this will be treated as a cancellation.
If you leave early for any reason Heather and Stone will not issue any refund for unused nights.
Heather and Stone reserve the right, at all times, without statement of reason, to refuse or cancel a booking.
We strongly recommend that you take out travel insurance at the time of booking ensuring it has cancellation cover. Whilst we allow you to cancel your stay, we cannot guarantee that we will be able to refund any part of the payments you have already made.
In the unlikely event that we have to cancel your stay, we shall inform you as soon as possible via email and text/phone call. Stays are only cancelled as a last resort and in the circumstances that reasons are out of our control, we will offer alternative dates of your choice (same as booked i.e same days , bank holidays if bank holidays were booked) to replace your cancelled stay. In the event a refund is offered, all monies minus admin fees will be paid to you within 14 days.
If Government policies restrict travel and you are unable to travel to stay with us, you will have the option to postpone your stay to a later date (subject to any differences in price applicable for the new dates) or receive a full refund.
If you are unable to travel due to personal illness (e.g. Covid or other sickness), our cancellation policy will apply.
Occupancy
The cabins are designed for a maximum of two adults. No visitors or events of ay kind are permitted. No Children for safety and insurance reasons.
Group Bookings
To preserve the tranquillity of the site, respect the wildlife, Heather and Stone is located in an Area of Outstanding Natural Beauty (ANOB) and neighbours an SSI Site of Special Interest). Therefore we do not accept group bookings. Only the number of persons specified on a booking confirmation may occupy a property, a maximum of 2 adults per cabin. We reserve the right to refuse admittance or cancel a booking if this condition is not observed, in which case, our cancellation policy will come into effect.
Arrival and Departure Times
Your cabin will be ready by 4.00pm on the day of your arrival and departure time is 10.30am. . If you anticipate you will arrive later than your stated please let us know by emailing or message us, at hello@heatherandstone.co.uk or call or message on 07949378269. Please keep us updated if you are delayed on your journey to us. All arrivals must be before 9.00pm, all year round.
Due to the woodland location and the wildlife in the area, there are only low level dim lights along the short path to the cabin. The cabin is only 25 metres from the parking area, from a gravelled area, up gravel steps to a wood chipped path.
We reserve the right to make a surcharge for a departure later than ten minutes from the agreed check-out time, as this adversely affects the quality of provision, we are able to offer the next incoming guest.
Pets
Sorry we are dog lovers however we do not allow dogs or pets of any kind at Heather and Stone Cabins. Our woodland is home to badgers, foxes, Muntjac dear, neighbouring sheep and cattle nearby and other wild animals which can be disturbed by straying dogs. We have a dog onsite which is not allowed to roam for these reasons.
Date Changes
Where possible, if you require date change we will try to help you change the date of your booking, however this is entirely at the discretion of our team and if they cannot make a change, then the standard cancellation policy will apply. All date changes must be requested more than 60 says in advance of the original booking, otherwise standard cancellation policy will apply.
Guest Behaviour and Noise
Its important to us all that our guests have an amazing stay, peaceful and relaxing, connecting with nature, the cabin at Heather and Stone is in a wildlife filled area, ANOB, Neighbouring SSI. To respect the wildlife, we do not allow any loud music or radios outside of the cabin. Please use headphones if you are listening to music outside.
The sounds you should be able to hear after 10.30pm are the owls, foxes calls, Badgers rustling through the woods, Muntjacs etc. We ask guests to respect others in the surrounding environment.
In exceptional circumstances, we reserve the right to ask your party to leave if there is repeated noise, or behaviour not adhering to these terms. If you breach these terms of your contract with us, no refund will be forthcoming.
Drugs or prohibited substances are not permitted in the cabins or on any part of the site, at any time.
Due to our insurance conditions, visitors and children are not permitted in the cabin as guests or visitors at any time.
We provide outside furniture, fire pit and wood fired hot tub, please note, you use these facilities entirely at your own risk, and must use in an appropriate and safe manner, see guides for use in the cabin for further instructions and safety information on site.
Any equipment inside or outside the cabin must not be used under the influence of alcohol or drugs.
We accept no liability for injury because of using any equipment at Heather and Stone inappropriately or whilst under the influence of alcohol or drugs.
Commercial use of the property
The Cabin is rented to you for purely non-commercial use, for leisure purposes. Filming and photography or other commercial uses including influence/blogger content creation must be done with prior consent and authorisation from the Heather and Stone Management.
Cleaning, Damages and Breakages
Please leave your accommodation tidy and let us know immediately if anything gets broken so we can replace before the next guest arrives. Accidents do happen, and we will only charge for replacements in exceptional circumstances, as we expect a fair degree of wear and tear. If the damage is directly attributable to the guest, then we reserve the right to request payment to cover all damages incurred directly during your stay. Any missing inventory from the property on your departure will be charged for. Any damage to fabrics and towels, dressing gowns will be charged for.
All cleaning, under normal circumstances is included as part of your stay. If additional cleaning is required, including washing up, additional cleaning of the interior or fixtures and fittings, then Heather and Stone reserve the right to charge for this work at a rate of £15.00 per hour. Heather and Stone reserves the right to charge for this.
The guest is responsible for leaving the accommodation in good order, clean and tidy and in the same condition as they found the cabin on arrival when vacating, guests must remove all food items and personal belongings and follow Heather and Stones instructions about where to place rubbish etc.
We have provided a recycling bins for recyclable waste and ask that you recycle fully. The welcome information in the cabin will advise what is recyclable locally for your convenience and to reduce your stay’s impact on the environment, so our rubbish needs to be separated accordingly (Food waste, general waste, general waste should not include recycled items such as plastic and cardboard glass, tins etc, sanitary items and such like should be put in the bathroom waste bin only.
Lost Keys
The cost of replacing keys and fob lost by guests is charged at £30 each.
Security It is the guest's responsibility to close windows and lock the cabins when they are not on site. Heather and Stone cannot be held responsible for the loss or damage of guest's personal property which is not locked away inside the cabin.
Heather and Stone will not be held responsible for any loss or damage to any property on Heather and Stone premises. Vehicles, accessories, and contents are left at the owner’s risk on any part of Heather and Stone site. It is recommended that your holiday insurance covers loss or damage to personal effects.
Guests bringing their own bicycles should ensure they are locked and left outside the cabin, please bring locks with you. Heather and Stone cannot be held responsible for damage or theft to bicycles left on the property. Bicycles are not permitted inside the cabin.
Safety
Heather and Stone provide’s a unique holiday experience in the natural environment, we border an SSI, ANOB, the area has purposely been left untouched to protect and support the thriving of wildlife, Flora and fauna. There is a higher degree of risk in this type of environment and in this environment, you are advised to take appropriate an reasonable care and safety. Suitable clothing and footwear for all weathers and terrain and you are always responsible of your own safety.
No Smoking Policy
The cabins are NO SMOKING PROPERTIES. Smoking is strictly prohibited inside the cabins and on any flammable areas such as decks. Any guests smoking outside of the cabin are required to do in the designated area next to the fire pit only, and are responsible for disposing of their cigarette buts in a small black metal bin filled with wet sand and then put in the lidded ash bin once fully extinguished and must not litter the surrounding area. Failure to comply with this condition in the inside of the cabin will result in an additional fee of £500 to cover deep cleaning and re-decoration. Consideration must be given to the environment and ensuring cigarettes are extinguished properly any resulting fires and damage may result in costs and compensation for loss of business being sought.
Candles, Due to the high fire risk with a wooden structure, the use of candles and tea lights, are not permitted in the Cabins or the decking and surrounding areas, at any time.
Fireworks and Chinese lanterns, Due to the high fire risk with a wooden structure and surrounding area, the use of fireworks, sparklers and Chinese lanterns are not permitted across the entire site, at any time.
Other Equipment brought to site, Disposable Barbecues and Camping stoves are strictly forbidden on site. Guests found to be using them will be asked to stop using and dismantle or leave. This is due to fire risk. The Heather and Stone fire pits/ BBQs fire bowls must be kept within the designated areas and at a minimum of which is 5 metres from your accommodation and not use any combustible woodland materials, and only use wood provided/purchased from us can be used for wood burning stoves.
We reserve the right to ask guests not to use the firepit in hot dry periods or when weather is windy or not favourable, where there is a high risk of wildfires starting and spreading. We may remove the firepit in these instances and inform guests.
Services
Should there be a failure in a utility service (e.g. water, heating, electricity, sewerage) please notify Heather and Stone management immediately and we will aim to restore the service as quickly as possible. However, should any utility service failure extend beyond a 12-hour period from notification, for your health and safety reasons you will be asked to leave the accommodation and your accommodation fee for the duration lost will be fully refunded or you will be offered to re-book for another time, subject to availability.
External Lighting, Heather and Stone is located in an Area of Outstanding Natural Beauty (ANOB), there is only limited low level lights and minimal lights at parking and on the side of the cabin due to bats in the area.
Complaints
We try exceptionally hard to ensure your stay with us is memorable for all the right reasons, and our many returning guests testify to the excellence of our service. However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the guest to make any such problem known to us immediately it becomes apparent, thereby giving us the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be considered. We will make every effort to rectify any identified problems as soon as is reasonably possible to ensure the rest of your stay and experience is problem free.
Miscellaneous
Whilst every care is taken to provide a true and accurate description of the property on our website, in marketing and in email communications, over time alterations are made and some things do change. The holidaymaker accepts that no refunds are available for such discrepancies.
Access and surroundings
We do not claim to be a remote or isolated accommodation, the cabin is located close to the owners house however is private. We advertise that we have a feeling of wilderness but close to Shrewsbury and Ludlow and short drive to local villages and pubs. Please be aware that the cabin is situated on private land, there is a pedestrian right of way passing the side of the cabin, this is used by walkers occasionally, so it is possible you may see another human being. It gives direct access to walking routes North and South to the unique surrounding area and is a benefit of the cabin for all our guests to enjoy.
Wi Fi
There is no wifi although there is some mobile phone signal. We encourage guests to disconnect to reconnect.
We can also provide information about local activities and offers, which can be booked directly with the providers.
The Heather and Stone team reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.
We hope you love the natural environment as much as we do. We ask that you consider the Countryside Code including the following:
Leave gates as you find them, closing a gate if found closed.
Keep to public footpaths.
Leave no trace on the land.
Please note that essential maintenance activities may be carried out on or in the accommodation during your stay without you being entitled to any compensation.
Extreme Weather
Heather and Stone holds no responsibility for guests who are unable to attend their cabin stay due to extreme weather or traffic conditions (e.g. Snow, high winds, flooding, road traffic accidents/congestion, train delays, etc). If a guest is unable to reach Heather and Stone due to adverse weather conditions, or travel issues, you/they will lose their full payment and an alternative date will not be offered. Please ensure you have full holiday/travel insurance to cover such situations.
If Heather and Stone, make the decisions to cancel due to extreme weather conditions on site (Snow or High winds) we will offer an alternative date subject to availability.
When there is snow or ice we may ask guests to park nearby as car access may be more difficult or at owners risk, this is within a short five minute walk and help with bags will be offerred.
Force Majeure
Heather and Stone accept no liability for events prior to your stay totally beyond our control. destruction of property due to flood, fire, earthquakes or acts of nature: or if the property becomes uninhabitable due to irreparable damage or on health and safety grounds that could not be reasonably have been foreseen. In such instances, refunds will be at the discretion of Heather and Stone management.
We cannot accept responsibility or pay any compensation where the provision of the holiday is prevented or affected by reason of circumstances that amount to “force majeure”. These include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of the property through fire, flood, explosion, storm damage or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic, pandemic and all similar situations beyond our control. We strongly advise guests to take out holiday cancellation insurance in advance of their trip.
Personal Details
In order to process the booking, Heather and Stone will need certain information from the guest about the party. It may be used for administration purposes solely by Heather and Stone and for sending the guest future promotional or marketing literature. Please request to see data privacy Policy for further information.
Liability Law
Heather and Stone shall have no liability for any death or personal injury unless this results from the negligence of Heather and Stone. In addition, Heather and Stone accepts no responsibility for the safety of, or the loss or damage to the guest’s possessions whilst on the Heather and Stone property or land. Exception to this is if damage or loss is caused by negligence by Heather and Stone or its employees.
DECLARATION
I have read the booking conditions and agree on behalf of all members of my party to abide by those conditions. I understand that any balance payments must be paid at least 4 weeks before the holiday is due to start. I am over 21 years of age. By booking at Heather and Stone to confirm and abide to these conditions.
HEATHER AND STONE RESERVES THE RIGHT TO CHANGE OR AMEND THESE TERMS AND CONDITIONS AT ANYTIME.
Vouchers Terms and Conditions
Vouchers valid for 12 months from the date of issue. To book contact hello@heatherandstone.co.uk to make a direct booking and check availability. It is advisable to book well in advance to secure preferred dates. Once dates are agreed and a booking is made the voucher will be redeemed. The voucher cannot be used in conjunction with any other offer. Vouchers are priced at a reduced rate ahead of 2024 prices and offer great value and cover weekday and weekend stays. We do not offer any refunds on vouchers. Vouchers must be redeemed within the voucher validity period. Vouchers not to be used in any other marketing without prior approval. Vouchers cannot be exchanged for cash. By purchasing a voucher you agree to be bound by all booking terms and conditions for stays at Heather and Stone. VAT in included in the cost of the voucher.
